What it’s like to outsource social media with Kafen8

And while social media marketing (also known as SMM) takes a lot of time, it doesn’t always make sense to hire a full time social media employee, either.

Today, we want to share what it’s like from the client’s perspective to outsource social media marketing to Kafen8 with our social media marketing packages.

First: Discovery call with Kafen8

We always recommend a 30 minute discovery call with prospective social media package clients before we begin an engagement to make sure we’re a good fit. While Kafen8 works with B2B and B2C clients across many industries, we are not a fit for everyone. 

This initial call is also a great opportunity to determine the client’s needs and recommend a social media package. While our monthly social media packages start at $750 per month, they go up from there in price, but also in deliverables and service level. 

If our clients are interested in social media ads or boosted posts, we have packages for that, too, and will include more information about advertising strategy in the proposal as relevant.

After we conclude the call, the Kafen8 team prepares and sends a proposal that includes a monthly scope of work and fee to the client that reflects the needs discussed during the discovery call. 

Our proposals can be signed electronically, and once signed, they kick the project into the next phase. 

Then: Social media kickoff call with Kafen8

Once we receive a signed social media outsourcing proposal, we schedule a kickoff call. That kickoff call takes about an hour, and during the call, we cover things like: 

  • Business goals: What goals do you have for your business? What does success look like for you in the next year? 

  • Social media marketing goals: What are you hoping to get out of your SMM? More appointments booked? More visits to your blog? More engagement with your content? More social media followers? 

  • Do you have a content or promotional calendar for your other marketing efforts? This is a great time to discuss that, so we can ensure your social media content is in step with your other marketing efforts.

  • What would you like to highlight about your business with your social media marketing? 

  • What kinds of content would you like to see on your social media accounts? News articles, infographics, memes, industry tips, statistics, product highlights, etc. 

  • It’s also important to talk about what content you don’t want to see - some business owners prefer not to post holiday content, and that’s completely ok, too. This is the perfect time to have that discussion!

After we talk about content, we’ll then go through our social media account credential handoff process. We use a secure method to obtain and store social media usernames and passwords. 

For clients who have original brand or product photography assets that they’d like to be featured in social media content, we ask that they share them in the form of a Dropbox or other electronic at this point so our content creation team can access and use those assets in the social media content they create. 

For clients who don’t have much original content to feature - no worries. We have memberships to multiple stock photography agencies and include the cost of stock photography in our monthly fees for all clients.

Kafen8 uses a social media management platform called Cloud Campaign to schedule social media posts, to submit social media content to clients for review and comment, to manage hashtags, and for analytics and reporting. So, we usually spend the end of the kickoff call showing the client how to login to and use the Cloud Campaign platform. Use of Cloud Campaign is included in all Kafen8 social media packages. 

Finally, we cover any remaining questions and wrap up the discovery call. 

Social media content is ready, posting begins

For clients who opt out of having a weekly content review, we begin posting on their behalf about 3-4 business days after the kickoff call. We strive to work quickly to get content out, so that the clients feel the relief of having social media off their plates almost immediately.

For clients who opt in to have a weekly content review, when content is ready for review, they will receive a notification from Cloud Campaign. We generally have the first round of content ready to review within about 3-4 business days of the kickoff call. Cloud Campaign makes this process easy, as clients can make comments directly within the platform on each post, and the Kafen8 team can respond and make changes within the platform too. Once content is ready to go, and the clients hit the “Approve” button in Cloud Campaign, that content immediately goes into the scheduling queue. 

For our clients, the content review and approval process takes about 15-30 minutes per week at the most. This is a time savings of 5-10 hours per week compared to the client having to create and post social media content on their own. When you add it up to a monthly basis, we see clients saving 20 hours or more per month in time spent on their social media.

Monthly optimization and reporting meeting

Once a month, we schedule an optimization and reporting meeting with our clients so they can see how we are progressing on their SMM goals, and discuss optimizing content as we move forward. 

This is a 30 minute call, and is scheduled based on the client’s availability, of course.

Billing

At Kafen8, we even strive to make billing easy for our clients. Social media packages are billed once a month on a recurring basis to the client’s credit card. No paper invoices, checks, or snail mail needed.

Cancellation

On the rare occasion when a client needs to pause or cancel their social media plan, Kafen8 asks to be notified at least a week before the client’s next billing date. We do not have complicated contracts that require our clients to commit to working with Kafen8 for months or years. We do ask nicely for our clients to plan to work with us for at least three months so that they can see progress against their goals. 

When you outsource your social media with Kafen8, you save time

By our calculations, you save at least 20 hours per month.

Our most basic social media package includes 20 posts, complete with beautiful photography, expertly written, including growth-focused hashtags, posted on 3 different platforms. (So, really, we’re talking about 60 separate social media posts.

If you estimate that each post takes a half an hour to create (it’s really closer to an hour, but just for fun, we’ll say 30 minutes.) 20 posts x 30 minutes is 600 minutes or 10 hours.

If you estimate it takes 10 minutes to actually post each piece of content, 10 minutes x 60 posts = 600 minutes or 10 hours. That’s 20 hours of time you save every month.
